What This Does

A stakeholder sync produces a page of raw notes that then needs a second pass to become an actual tracked list of owners and next steps. Notion AI does that second pass for you, pulling action items with owners straight out of the notes so nothing buried in a side comment gets lost between the meeting and the next sprint.

Before You Start

  • You have a {{tool:Notion.plan}} workspace ({{tool:Notion.price}}): notion.com
  • Notion AI meeting notes are enabled on your workspace. Some AI features are metered or gated by plan, so check Notion's current pricing page if the meeting note block below doesn't appear
  • A page for your upcoming or recent stakeholder sync

Steps

1. Find the AI feature

On any Notion page, type /meeting (or /meet) and select the AI Meeting Notes block from the menu. If you're capturing notes live, hit "Start Transcribing" before the sync begins. If you're working from notes you already typed by hand, you can still run the summary and action item extraction on existing text in a page.

2. Tell it what you need

During or after the sync, @ mention the people responsible for a decision or follow-up directly in your notes. That mention helps the AI attribute the resulting action item to the right owner instead of leaving it unassigned. Open the Instructions dropdown if you want to steer what the summary focuses on. For a stakeholder sync, tell it to prioritize decisions made and open questions over general discussion.

3. Review and use the result

When you stop the meeting note block, Notion generates a summary and surfaces action items as checkboxes, each with a citation linking back to the moment in the transcript it came from. Read through the action items against your own memory of the sync before treating the list as final. Misattributed owners or a missed action item buried in a tangent are the two most common gaps, and both are a quick fix if you catch them the same day.

Real Example

Scenario: A sync with the analytics team just wrapped, covering three decisions and a handful of follow-ups mentioned in passing.

What you type/do: Run the AI Meeting Notes block during the call, @ mention each person as they take on a follow-up, then stop the block at the end.

What you get: A structured summary of what was decided, a checklist of action items each tagged with an owner, and a full transcript underneath in case anyone needs the exact wording of a decision later.

Tips

  • Don't rely on the transcript alone to capture something sensitive, like a specific customer's contract terms or an individual's performance discussion, if the page is visible to a wider audience than the meeting attendees. Move that content to a restricted page or leave it out of the transcript entirely.
  • Use the Instructions dropdown differently for different meeting types. A stakeholder sync and an internal engineering standup need different things pulled out of the same raw transcript format.
  • Link extracted action items directly to your existing task database instead of leaving them as checkboxes on the meeting page. Notion supports this natively, and it's the difference between an action item getting tracked and one getting forgotten in a week.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
